Refund & Cancellation Policy
1. Purpose
Inspire 2b Active aims to provide clear and fair arrangements for cancellations, refunds and credit notes relating to our sports clubs, camps, sessions, courses and other activities.
This policy explains what happens when a booking is cancelled by either Inspire 2b Active or the customer.
This policy should be read alongside our Terms & Conditions and other relevant policies published on our website.
2. Bookings and Payments
Bookings are confirmed once payment has been successfully received and the booking has been accepted by Inspire 2b Active.
Places on clubs, camps, courses and other activities may be limited. By making a booking, customers acknowledge that Inspire 2b Active may have committed staffing, venue and other costs in providing the activity.
The cancellation arrangements below therefore apply to customer cancellations, subject always to any statutory rights that may apply.
3. Cancellation by Inspire 2b Active
If Inspire 2b Active cancels a club, camp, session, course or other activity and is unable to provide a suitable alternative, the customer will be entitled to a full refund of the amount paid for the cancelled activity.
Where an alternative date, session or arrangement is offered, customers may choose to transfer their booking to the alternative arrangement, receive a credit note where appropriate, or receive a refund where the activity cannot reasonably be provided as originally booked.
We will communicate any cancellation as soon as reasonably practicable.
4. Cancellation by the customer
4.1 Cancellation with 24 hours or more notice
Where a customer cancels a booking with at least 24 hours’ notice before the scheduled start time, Inspire 2b Active will normally issue a credit note for the amount paid rather than a cash refund.
Credit notes may be used against future Inspire 2b Active activities, subject to availability and any stated expiry date.
Where appropriate, and at Inspire 2b Active’s discretion, an alternative arrangement may be offered instead of a credit note.
This provision does not affect any statutory right a customer may have to a refund or other remedy.
4.2 Cancellation with less than 24 hours’ notice
Where a customer cancels with less than 24 hours’ notice, Inspire 2b Active will normally be unable to offer a refund or credit note.
This is because late cancellations can result in staffing, venue and other costs being incurred for a place that may no longer be possible to offer to another customer.
However, Inspire 2b Active may consider exceptional circumstances at its discretion, particularly where the circumstances could not reasonably have been anticipated.
Nothing in this section limits or excludes any statutory rights that apply to the customer.
4.3 Non-attendance
If a child does not attend a booked activity without prior cancellation, the booking will normally be treated as a late cancellation and no refund or credit note will be provided.
Where appropriate, Inspire 2b Active may exercise discretion in exceptional circumstances.
5. Illness, injury and exceptional circumstances
We understand that children can become unwell or sustain an injury unexpectedly.
Our normal cancellation arrangements continue to apply where a child is unable to attend because of illness or injury. However, Inspire 2b Active may consider individual circumstances and may, at its discretion, offer a credit note or alternative arrangement.
Customers should contact us as soon as possible if illness, injury or another unexpected circumstance prevents attendance.
Any discretion exercised by Inspire 2b Active in one situation does not create an entitlement to the same outcome in future circumstances.
6. Change to venue, date or time
Occasionally, circumstances outside our reasonable control may require us to change the venue, date or time of an activity.
Where this happens, Inspire 2b Active will provide reasonable notice wherever possible and will communicate the alternative arrangements to affected customers.
Where a significant change means that the activity can no longer reasonably be considered the service originally booked, Inspire 2b Active will consider appropriate refund or alternative arrangements.
7. Weather and outdoor activities
Many Inspire 2b Active activities take place outdoors and may be affected by weather conditions.
We will make reasonable decisions based on the safety and suitability of conditions for participants and staff.
Where an activity can safely continue with reasonable adaptations, we may modify the programme rather than cancel the activity.
If weather conditions make an activity unsafe and Inspire 2b Active cancels the activity, the arrangements in Section 3 – Cancellation by Inspire 2b Active will apply.
8. Credit notes
Where a credit note is issued:
- it will normally be issued to the person who made the original booking;
- it may be used against eligible future Inspire 2b Active activities;
- it cannot normally be exchanged for cash;
- it may be subject to an expiry date, which will be communicated when the credit is issued; and
- it cannot normally be transferred to another person unless agreed by Inspire 2b Active.
Credit notes will not affect any statutory right to a refund where such a right applies.
9. Refunds
Where a refund is due, it will normally be returned using the original payment method.
Refunds will normally be processed within 14 days of Inspire 2b Active confirming that a refund is due.
Where a payment was made using a third-party payment provider, the timing of the refund may also depend on that provider’s processing arrangements.
10. Statutory customer rights
Nothing in this policy is intended to exclude, restrict or limit any statutory rights that cannot lawfully be excluded or limited.
Inspire 2b Active will comply with applicable UK consumer protection legislation.
Where a customer has a statutory right to cancel, a refund or another remedy, that right will take precedence over any conflicting provision of this policy.
11. How to request a cancellation

Customers should provide:
- the child’s name;
- the activity booked;
- the date of the activity; and
- the name of the person who made the booking.
The time at which the cancellation request is received will be used when determining whether the 24-hour cancellation period has been met.
12. Policy review
This policy will be reviewed periodically to ensure that it remains appropriate for the services provided by Inspire 2b Active and reflects applicable legal and regulatory requirements.
